The gradebook — entering marks
The gradebook is where teachers record what learners have achieved – both continuous assessment during the term and formal exam marks. EduPrime combines them using configurable weightings to produce a single subject grade per term that flows into the report card.

Continuous assessment vs exams
Every subject's term mark is built from two streams. Continuous assessment (CA) covers classwork, assignments, quizzes and projects entered throughout the term. Exam marks come from formal sittings, including any results released from the Examinations app. You decide how the two combine.
- Open Academic → Gradebook and select the class, subject and term.
- Add CA columns with New assessment – give each a name, a maximum mark and a weight.
- Enter learner scores in the grid; running totals update live.
- Exam columns appear automatically when results are released from the Examinations app for that subject and term.
Weightings
The split between CA and exam is configured per subject or per programme. A common pattern is shown below; the gradebook computes the weighted total automatically so teachers never do the arithmetic.

Who can enter marks
Access is scoped by role. A subject teacher can enter and edit marks only for the classes and subjects they teach. A head of department can view and moderate marks across their department. The academic officer can enter for any class – useful for cover – and is the only role that can override a locked mark.
Locking marks
At the end of the term, the academic officer locks the gradebook for that class and term. Locking freezes all marks so they cannot be changed while report cards are generated.
- Locked columns become read-only for teachers.
- Any correction after locking must be made by the academic officer and is recorded in the audit trail.
- Report cards and transcripts always draw from locked, final marks – never drafts.
