Transport reports & safety

The reporting layer turns daily journeys into the manifests, attendance records and incident logs that keep transport accountable and auditable. This page is the transport manager's reference for what to print and review.

Where to find it — App drawer → Transport → Safety → Child-Check Sweeps.

Route manifests

A manifest is the authoritative list of who should be on a given bus on a given day. Print or open it from Transport → Routes → Manifest.

  • Lists every assigned rider, their stop and boarding order.
  • Shows guardian contact numbers for emergency use.
  • Flags any rider whose transport assignment ended or is suspended.

Keep a printed manifest on each bus as a paper fallback if a device fails.

Attendance on the bus

Every boarding event the driver records rolls up into transport attendance reports.

ReportAnswers
Daily boarding logWho rode each bus, when they boarded and alighted
No-show reportRiders expected but not boarded – office follows up
Punctuality reportActual vs scheduled stop times across the term
Utilisation reportSeats used vs capacity per route – informs fleet planning
Tip – Review the no-show report each morning. A pattern of no-shows from one family usually means they have quietly stopped using the bus – a chance to free a seat and tidy billing.

Incident logging

Any safety event – a breakdown, a near miss, a behaviour issue, a delay – is logged so there is a record and a follow-up.

  1. Open Transport → Incidents → New (the driver can also raise one from the app).
  2. Record the date, route, vehicle and a description.
  3. Classify severity (Minor, Significant, Serious) and tag affected students.
  4. Assign a follow-up owner and a due date; close the incident when resolved.
  5. Serious incidents notify the transport manager and, where relevant, guardians.
Important – Log incidents the same day while details are fresh. A complete incident trail is what protects the school in a dispute and feeds the safety review that should run every term – including a check that every vehicle's insurance and inspection dates are current.
