Bills and expenses

BridgeERP AI reads vendor bills and receipts, from a PDF or a photo, and fills them in for you to check.

Vendor bills

  1. Go to Accounting › Vendors › Bills and click Upload (you can choose several files), send the bill to your bills email address, or drop the file in the chatter of a draft bill.
  2. BridgeERP AI fills the vendor, the bill number, the dates, the currency, the lines, the quantities, the prices and the taxes.
  3. A blue note says the bill was filled by AI; a yellow one lists what to check (a tax that does not exist, a total that does not match the document...).
  4. Check the bill and confirm it as usual.

Vendors

The vendor is found by tax ID, email or name. A vendor that does not exist yet is created with its tax ID, email, phone and address, and the chatter says so.

Many bills at once

When you upload several bills, the first ones are read straight away and the others a few minutes later; their status shows Waiting for AI. The AI Reading column of the bills list shows the status of each bill, and the Read by AI, to Check filter lists them.

Read again

Read with AI on a draft bill reads its document again (the lines are replaced). In the list, select bills and use Read with AI in the Action menu.

Expense receipts

In Expenses, click Upload and choose your receipts. Each expense gets the merchant, the date, the currency, the amount paid, the tax and the category. Read with AI on an expense reads it again.

Switch it off

Settings › BridgeERP AI › Vendor Bills › Read vendor bills and receipts with AI. While it is on, bills and receipts are not also sent to the separate paid digitization service.

If a bill stays empty with a red note, read the note: usually the purchase journal has no default expense account, or the file is not a bill.
